Start with your biggest bottleneck
Every center has a different pain point. Some are drowning in billing reconciliation. Others can’t keep their waitlist organized. Identify your top three operational bottlenecks and evaluate software on how well it addresses those specific problems, not on feature count.
Look for integrated systems, not add-ons
A billing tool that doesn’t talk to your enrollment system creates more work, not less. The most effective platforms connect enrollment, billing, attendance, communication, and reporting into one data model. When a child enrolls, their billing plan, classroom assignment, and parent communication should set up automatically.
Ask about data migration
The biggest barrier to switching software is moving your existing data. Ask vendors specifically: Will you migrate our family records, billing history, and enrollment data? What’s the timeline? What’s the cost? A vendor that glosses over migration probably hasn’t done it at scale.
Test the parent experience
Parents interact with your software too, for payments, enrollment forms, daily reports, and communication. If the parent-facing experience is clunky or confusing, you’ll spend time fielding support requests instead of running your center. Ask for a demo of the parent portal.
Consider the pricing model
Per-child pricing scales with your center. Per-location pricing can be cheaper for large centers. Per-feature pricing nickel-and-dimes you on capabilities you actually need. Understand the total cost at your current size AND at 50% growth. Centers that are growing need software that grows with them without surprise invoices.
Evaluate support and onboarding
Software is only as good as your ability to use it. Ask about onboarding timelines, training resources, and ongoing support channels. The best vendors assign a dedicated onboarding specialist and provide a structured rollout plan rather than pointing you at a help doc.
