Privacy Policy

How we collect, use, share, and protect information when you use Prece.

This Privacy Policy ("Policy") explains how Prece ("Prece", "we", "us", or "our") collects, uses, discloses, and protects information in connection with our websites, applications, and related services (collectively, the "Services"). It applies to: (a) childcare centers, schools, fitness facilities, and similar organizations that use the Services (each, an "Operator") and their staff; and (b) parents, guardians, members, and other individuals who interact with an Operator through the Services ("End Users").

By accessing or using the Services, you acknowledge that you have read and understood this Policy. If you do not agree with it, do not use the Services.

1. Our role: controller and processor

Prece plays two different roles depending on the information involved:

  • As a processor / service provider. When an Operator uses the Services to run its programs, the Operator decides what information is collected and how it is used. For that information, the Operator is the controller and Prece processes it on the Operator's behalf and under its instructions. If you are an End User, your relationship is primarily with the Operator, and the Operator's own privacy notice may also apply.
  • As a controller. For information we collect about Operators, their staff, and visitors to our public website — such as account registration, billing, support, and website analytics — Prece acts as a controller, and this Policy governs directly.

2. Information we collect

Information you or your Operator provide

  • Account and contact information: name, email address, phone number, job title or role, and login credentials.
  • Operator and program information: business name, locations, rooms or classes, schedules, staff records, and configuration settings.
  • Enrollment and profile information about families and members: names, dates of birth, contact details, emergency contacts, guardian relationships, attendance, and program enrollment.
  • Children's information: where an Operator provides childcare, the Services process information about enrolled children, which may include name, date of birth, photographs, daily activity records, allergies, and similar details. This information is provided to us by the Operator or by a parent or guardian.
  • Health and immunization information: immunization records, health forms, and related documents that an Operator or family chooses to store in the Services.
  • Payment information: billing details and payment-method information. Card and bank details are collected and processed by our third-party payment processor; Prece does not store full payment card numbers.
  • Communications: messages, announcements, support requests, and other content you send through or to the Services, including email and SMS content.
  • Documents and uploads: files, forms, images, and other materials you upload.

Information we collect automatically

  • Device and log information: IP address, browser type, operating system, device identifiers, and access timestamps.
  • Usage information: pages and features accessed, actions taken, and other interaction data that helps us operate and improve the Services.
  • Cookies and similar technologies: see "Cookies and analytics" below.

Information from third parties

We may receive information from service providers that support the Services, such as our payment processor (transaction and payment-method status), our messaging providers (message delivery status), and analytics or security providers.

3. How we use information

  • To provide, operate, maintain, and secure the Services.
  • To create and manage accounts and authenticate users.
  • To process enrollment, scheduling, billing, payments, and other Operator workflows.
  • To send transactional and operational communications by email and SMS, including messages and announcements initiated by an Operator.
  • To provide customer support and respond to requests and inquiries.
  • To monitor, troubleshoot, and improve the reliability, usability, and security of the Services.
  • To detect, prevent, and address fraud, abuse, security incidents, and violations of our terms.
  • To comply with legal obligations and enforce our agreements.

Where we act as a processor, we use information about End Users and children only to provide the Services to the Operator and as instructed by the Operator, and not for our own independent purposes.

4. How we share information

We do not sell personal information. We share information only as described below:

  • With your Operator. Information you provide as an End User is accessible to the Operator you interact with and its authorized staff.
  • With service providers (subprocessors). We share information with vendors that perform services on our behalf — for example, cloud hosting and database infrastructure, payment processing, email delivery, SMS delivery, analytics, and security. These providers are permitted to use information only to perform services for us.
  • For legal and safety reasons. We may disclose information if we believe it is reasonably necessary to comply with a law, regulation, legal process, or governmental request; to enforce our terms; or to protect the rights, property, or safety of Prece, our users, children, or the public.
  • In a business transfer. If Prece is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
  • With your direction or consent. We may share information for other purposes that you or your Operator direct or consent to.

5. SMS / text messaging

Operators that use Prece may send SMS text messages to End Users who have provided a mobile number and consented to receive them — for example, direct messages from staff and announcements about schedules, events, billing, and other operational updates.

Consent. End Users opt in by providing a mobile number and agreeing to receive text messages through an online enrollment or registration form, a paper enrollment form completed at the center, or a sign-up form opened by scanning a QR code displayed at the center. Providing consent is not a condition of enrollment or of purchasing any service.

Message frequency and rates. Message frequency varies and depends on the Operator's activity and your communication with its staff. Message and data rates may apply.

Opt out and help. You can opt out at any time by replying STOP to any message; reply START to opt back in, or HELP for assistance. You may also contact your Operator directly to update your communication preferences.

We do not sell or share mobile information. Mobile phone numbers and SMS consent are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Mobile information is shared only with the service providers that help us deliver the messages you requested (such as our SMS provider, Twilio), and used solely for that purpose.

6. Cookies and analytics

We and our service providers use cookies and similar technologies to keep you signed in, remember preferences, secure the Services, and understand how the Services are used. Most browsers let you control cookies through their settings. Some features of the Services may not function properly without cookies.

7. Children's privacy

The Services are designed for use by Operators and adults (such as staff and parents or guardians); they are not directed to children, and children do not create their own accounts. Where an Operator provides childcare, information about enrolled children is entered by the Operator or by a parent or guardian, and Prece processes that information solely as a service provider to the Operator. Operators and parents or guardians are responsible for providing any notices and obtaining any consents required by the Children's Online Privacy Protection Act (COPPA) and other applicable laws. If you believe a child's information has been provided to us improperly, contact us at privacy@prece.com and we will take appropriate steps to investigate and address it.

8. Data retention

We retain information for as long as needed to provide the Services, for as long as an Operator's account remains active, and thereafter as needed for legitimate business purposes such as security, dispute resolution, recordkeeping, and legal compliance. When we act as a processor, we retain and delete Operator data in accordance with our agreement with the Operator and its instructions.

9. Data security

We maintain administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction, including encryption in transit, access controls, and monitoring. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your privacy rights and choices

Depending on where you live and applicable law, you may have rights to access, correct, update, delete, or obtain a copy of certain personal information, to opt out of certain processing, and to not be discriminated against for exercising these rights.

  • End Users: because much of the information about End Users and children is controlled by an Operator, please direct requests to your Operator. We will assist the Operator in responding as required by law.
  • Operators and staff: you may exercise your rights by contacting us at privacy@prece.com. We may need to verify your identity before responding.
  • Communications: you can opt out of SMS messages as described in Section 5 and unsubscribe from non-essential emails using the link in those emails. We may still send transactional or service-related messages.

11. International users

The Services are operated in the United States. If you access the Services from outside the United States, you understand that your information will be processed in the United States, where data protection laws may differ from those in your jurisdiction.

12. Third-party links and services

The Services may link to or integrate with websites and services that we do not control. This Policy does not apply to those third parties, and we encourage you to review their privacy practices.

13. Changes to this Policy

We may update this Policy from time to time. If we make material changes, we will take reasonable steps to notify you, such as by posting a notice within the Services or updating the "Last updated" date above. Your continued use of the Services after an update takes effect means you accept the revised Policy.
